About Custom Software
Custom web applications, CRM and HRM systems, and the decisions that come before them. Whether to build or buy, what a bespoke system genuinely costs over three years, and how to tell when an off-the-shelf product has stopped fitting your process.
Most businesses arrive at custom software the same way. A spreadsheet worked, then it grew. Someone added a second one. Then a shared inbox, then a tool bought to fix the inbox, and now a member of staff spends part of every week copying data between the three. None of that appears on an invoice, which is why the arrangement survives for years.
The articles here are about recognising that point, testing the decision properly before spending anything, and knowing the situations where custom is the wrong answer. There are several: under ten users on a standard process, a requirement to be live next month, a process still changing weekly, or nobody internally willing to own the system after launch. Any one of those and a licensed product will serve you better for years.
Where custom does win, it wins on three things specifically. The software fits the process rather than the reverse. Adding your fiftieth user costs nothing, because there is no per-seat fee. And the data sits where you choose, which is what makes compliance questions answerable without a developer.
We build these systems for a living, so weigh the advice accordingly. We also turn this work down regularly, and the pieces here say when and why.
