Custom CRM & HRM Development

Stop paying per-seat for software that fits badly. We build the CRM or HR system your process needs, and you own the licence forever.

Custom CRM & HRM Development

Off-the-shelf CRM works until it doesn’t. You start bending your process to fit the software, paying for forty features to use six, and adding another per-user fee every time you hire.

A custom CRM inverts that. The software fits your process, you pay once to build it, and adding your fiftieth user costs nothing.

We build bespoke CRM and HRM systems for UK businesses that have outgrown Salesforce, HubSpot, or a spreadsheet that has quietly become load-bearing. Every system we build is yours outright — the code, the database and the hosting. Nothing is licensed back to you, and nothing is held in our accounts.

Book a free scoping call and we will tell you whether custom is genuinely cheaper for you over three years. Sometimes it isn’t, and we will show you the maths either way.

When Custom CRM Makes Financial Sense

This is the section most development agencies leave out, because the honest answer loses them some work. It is worth reading before you spend anything.

Custom usually wins when:

  • You have 20 or more users and per-seat licensing has become one of the larger lines on your software bill. Per-seat pricing punishes exactly the thing you are trying to do, which is grow.
  • Your process is genuinely unusual. The tell is that you have already paid a consultant to bend an off-the-shelf CRM into shape, and it still doesn’t fit. At that point you are paying twice — once for the licence, once to fight it.
  • You need deep integration with systems that have no ready-made connector: an ERP, a piece of industry software, a supplier feed, a legacy database that nobody wants to touch but everybody depends on.
  • Data has to stay in the UK for compliance or client-contract reasons, and you would rather control that directly than read a hosting provider’s sub-processor list every year.

Off-the-shelf usually wins when:

  • You have fewer than ten users and a reasonably standard sales process. HubSpot and Pipedrive are good products, and at that size the licence cost is lower than the build cost will ever be.
  • You need it live next week. Custom development cannot compress below the time it takes to understand your process, and pretending otherwise produces software nobody uses.
  • Nobody internally can own the system after launch. A custom system needs one person who cares whether it stays accurate. Without that, it decays faster than a licensed product that a vendor keeps updating for you.

If you fall in the second group, we will say so on the call, and we will point you at the product we would pick in your position. We would rather lose the build than sell you one you will regret in eighteen months.

What We Build Into Every CRM

The following are baseline, not extras. A CRM missing any of them tends to get abandoned within a year, usually because someone loses confidence in the data and quietly goes back to a spreadsheet.

  • Contact and company records with a full relationship history, so nobody has to search their inbox to find out what was last agreed.
  • Pipeline and deal tracking using your stage names and your qualification rules, not a generic funnel you have to mentally translate.
  • Quote and invoice generation straight from the record, in your templates, with version history.
  • Email integration so correspondence attaches itself to the right record without anyone remembering to copy it in.
  • Role-based permissions enforced on every screen and every endpoint, so a salesperson cannot see payroll and a contractor cannot export your database.
  • Reporting dashboards built around the numbers you actually manage by, with the underlying rows one click away so the figures can be checked rather than trusted.
  • Document storage against records, with sensible file limits and virus scanning.
  • A full audit trail of who changed what and when. This is the feature nobody asks for and everybody eventually needs.
  • A REST API so whatever you run next can talk to this, instead of you starting the same conversation again in three years.

HRM Systems We Build

HR systems fail differently from sales systems: they are used rarely by most people and constantly by a few, so the design has to survive an employee who last logged in eight months ago.

  • Employee records with contract history, salary history and reporting lines.
  • Absence and holiday booking with approval chains that match your actual org chart, including cover rules and carry-over.
  • Timesheets, including project and cost-code allocation where you bill time onward.
  • Onboarding and offboarding checklists, so equipment, accounts and access are provisioned and revoked on a schedule rather than from memory.
  • Appraisal cycles with objectives, review windows and a written record that survives a manager leaving.
  • Document storage with expiry alerts for right-to-work checks, professional certifications, DBS checks and insurance. The alerting is the point: an expired certificate you find out about during an audit is an expensive one.
  • GDPR-compliant data handling, with retention rules that delete on schedule and subject access requests you can answer without a developer.

Our Build Process

1. Discovery workshop — half a day. We sit with the people who will use the system, not only the people buying it. The gap between those two accounts of the process is usually where the real requirements are.

2. Process mapping — 1 to 2 weeks. We write down how the work actually flows, including the exceptions everyone handles by habit. You get this document whether or not you proceed; several clients have found it useful on its own.

3. Prototype — 1 week. Clickable screens, no working code. It is far cheaper to be wrong here than after the build has started, and people who cannot read a specification can always read a screen.

4. Build sprints — 6 to 10 weeks. Two-week sprints against a running staging site you can log into at any point. No black box, no big reveal at the end.

5. UAT with your team — 1 to 2 weeks. Your people run real work through the system while we fix what surfaces. Real data, real cases, including the awkward ones.

6. Launch and training — 1 week. Data migration, go-live, and training delivered to each role separately, because what the finance team needs to know is not what the sales team needs to know. Written documentation is handed over with it.

Note that custom does not win every row, and any comparison table claiming otherwise is marketing. Salesforce and HubSpot are strong products with thousands of engineers behind them, and continuous feature development you get for free is a genuine advantage a custom build cannot match. The case for custom is narrower and more specific: exact process fit, flat cost as you grow, and full ownership. If those three are not the things constraining you, buy the licence.

What It Costs and How We Quote

We do not publish a price range, because the honest range is wide enough to be useless — the same one-line brief can differ several-fold once it is pinned down. Three things move the number more than anything else:

  • The number of distinct user roles. Every role is a separate set of permissions, screens and test cases. Four roles is not twice the work of two.
  • How many external systems it must talk to. Integrations are where estimates go wrong, particularly against older systems with undocumented APIs.
  • Whether you need a mobile interface alongside the desktop system, and whether that means a responsive layout or an actual app.

What you get instead of a range is a fixed quote after a free scoping call, based on a written process map rather than a guess. If the scope changes later, the price changes by agreement and in writing, not by a surprise line on an invoice.

Questions

Custom CRM & HRM Development FAQs

How much does a custom CRM cost in the UK?

The cost is driven by three things: the number of distinct user roles, how many external systems it has to talk to, and whether you need a mobile interface alongside the desktop one. A focused single-team CRM and a multi-department platform with integrations are different orders of magnitude, so we scope first and then quote a fixed price rather than publishing a range that would be wrong for most projects. The scoping call is free and you keep the output whether or not you go ahead.

How long does it take to build a custom CRM?

Between 8 and 16 weeks for most UK SMEs. Discovery and process mapping take 2 to 3 weeks, the build runs 6 to 10 weeks in sprints you can see progress in, and user testing plus training adds 2 to 3 weeks at the end. The variable is rarely the code — it is how quickly your team can agree on what the process actually is.

Can you migrate our data from our existing CRM?

Yes. We handle exports from Salesforce, HubSpot, Zoho, Pipedrive and Microsoft Dynamics, plus spreadsheet and legacy database migrations. Data cleaning and de-duplication happen as part of migration rather than as an afterthought, because importing a decade of duplicates into a new system is how new systems lose their users in the first month.

Is a custom CRM GDPR compliant?

It can be more compliant than off-the-shelf, because you control where the data is hosted and exactly how long it is kept. We build UK-hosted by default, with subject access request handling and automated retention rules included rather than bolted on. You also avoid the international transfer questions that come with US-hosted platforms.

Who maintains it after launch?

Either your own developer or us, on a support retainer. You own the code, the database and the hosting either way, so you are never locked into one answer. We write the handover documentation on the assumption that someone else will read it, because sooner or later someone else will.
